The admissions season playbook for Indian schools

Plan your school's admissions season: enquiry handling, online application forms, documents, interactions, fee payment, RTE seats and onboarding new families.

For most private schools in India, admissions season is the busiest and most important time of the year. Enquiries arrive by phone, walk-in, WhatsApp and the website; forms pile up; parents want quick answers; and the school has to make fair decisions, collect documents and fees, and welcome new families — all while running the current year.

This playbook breaks the season into stages, with practical tips for each.

Before the season: prepare

  • Decide seats and timelines. How many seats in each entry class, and the dates for forms, interactions and results.
  • Publish the process and fees. A clear page on your website and a printed sheet for walk-ins: eligibility (including age criteria), documents required, fee structure and key dates.
  • Prepare the application form. Ask only for what you need at this stage; you can collect more after admission.
  • Train the front desk. Consistent answers to common questions build trust.
  • Plan for RTE seats where your school is covered by the Right to Education Act’s provisions for admitting children from disadvantaged groups and weaker sections. Follow your state’s process and timelines, which typically run through a separate government portal.

Stage 1: enquiries

Every enquiry is a potential family. Capture each one — name, phone, the class they’re interested in, and how they heard about you — in one place, not in personal notebooks or phones. Follow up promptly: families often enquire at several schools at once.

Useful habits:

  • Respond to website enquiries the same day.
  • Offer a campus visit or an information session.
  • Keep a simple status for each enquiry: new, contacted, visited, applied, admitted, not proceeding.

Stage 2: applications

An online application form saves families a trip and saves the office hours of data entry. A good form:

  • Works on a phone.
  • Asks for essential details: child’s name and date of birth, class applied for, parents’ names and contacts, address, previous school.
  • Allows document uploads where appropriate.
  • Accepts the application fee online, if your school charges one.
  • Sends an acknowledgement with next steps.

Review applications in one list with their status, rather than in piles of paper.

Stage 3: interactions and decisions

Keep processes for interactions or assessments fair, documented and appropriate to the child’s age, and in line with applicable rules on admission procedures. Record the outcome for each applicant and communicate decisions clearly and on the promised date.

Stage 4: confirmation and fees

When a family accepts an offer:

  • Confirm the seat in writing.
  • Collect the documents required for admission.
  • Collect the admission fee and first installment, with receipts.
  • Issue an admission number.

Online payment is especially helpful at this stage, as families can pay immediately rather than visiting the school.

Stage 5: onboarding new families

The first weeks shape a family’s impression of the school:

  • Create the student record once, with complete details — it will be used for years.
  • Assign class and section; use a balanced distribution of new students across sections where your school does that.
  • Send a welcome message with the app, school code, calendar and what to expect on day one.
  • Invite parents to an orientation.

After the season: review

Look back at the numbers: enquiries, applications, offers, acceptances, and where families came from. Which channels worked? Where did families drop out? Use the answers to plan next year.

Every school’s dates differ, but a typical sequence looks like this:

  • Three months before the session: decide seats, fees and dates; update the website; train the front desk.
  • Weeks 1–4 of the season: open enquiries and the online application form; run campus tours and information sessions.
  • Weeks 5–6: close applications for the first round; schedule interactions where your process includes them.
  • Week 7: communicate decisions on the promised date; open seat confirmation with online fee payment.
  • Weeks 8–10: collect documents, issue admission numbers and create student records; send welcome messages and the app details.
  • Before the session starts: distribute new students across sections, share the calendar and timetable, and hold orientation.
