Reducing teachers' admin workload: ten practical changes

Teachers spend hours on registers, marking practice, copying marks and answering the same parent questions. Ten practical changes schools can make to give that time back to teaching.

Ask teachers what takes time away from teaching and the answers are remarkably similar: registers, copying marks between sheets, checking practice worksheets, chasing homework, preparing data for meetings, and answering the same parent questions again and again. None of these is unimportant — but much of the effort is duplication that schools can remove.

Here are ten practical changes that give teachers time back.

1. Take attendance in seconds, once

Marking attendance in a register and then typing it into a sheet is double work. When teachers mark attendance directly in a system — everyone present by default, change the exceptions, save — the class is done in moments, monthly percentages calculate themselves, and parents are informed without a single phone call.

2. Enter marks once

Marks often travel from answer sheet to register to spreadsheet to report card. Each step is a chance for error. Let subject teachers enter marks directly into the system that produces report cards, and the copying disappears.

3. Let practice quizzes mark themselves

Practice worksheets are valuable, but checking forty copies every few days is not the best use of a teacher’s evening. Online quizzes with automatic marking and instant feedback give students more practice and teachers more time — with class-level results that show what to re-teach.

4. Start from ready-made material

Teachers aren’t always at a desk. When they can mark attendance, set homework, enter marks and check their own timetable, leave and payslips from a staff app, small tasks fit into small gaps in the day.

Making change stick

Removing work only helps if the old work actually stops. A few principles:

  • Switch off the duplicate. When attendance moves to the app, retire the register (or keep a printed copy generated by the system).
  • Start with the biggest pain. Ask teachers which task they’d most like to lose, and tackle that first.
  • Train in short sessions with real tasks.
  • Measure. Ask teachers a term later how much time they’ve saved and what’s still painful.
  • Protect the time. Make sure saved time goes to teaching and students, not to new paperwork.

What leadership can do

School leaders set the tone. Asking for the same data in three different formats, or for reports that the system already produces, recreates the workload you were trying to remove. Agree on one source of truth and use the reports it gives you.

A quick self-audit for your school

Ask each teacher to note, for one ordinary week, every administrative task they do and roughly how long it takes. Then sort the tasks into three groups: tasks that could be removed entirely (duplicate entry, reports that already exist elsewhere), tasks that could be automated (marking practice, calculating attendance percentages, building the timetable), and tasks that genuinely need a teacher (remarks, conversations with parents, feedback on written work). Most schools find the first two groups are larger than expected — and that is where the changes above make the biggest difference.
